• Payment details are processed securely through Stripe. We do not store credit card numbers on our servers.

Interview & Content Data

• Audio recordings of AI-conducted phone interviews
• Interview transcripts (automated and corrected)
• Documents, writing samples, and materials you upload
• Book drafts, outlines, and related content generated during the service

Usage Data

• Browser type, IP address, and pages visited on our website
• Communication preferences and interaction history

How We Use Your Information

We use the information we collect for the following purposes:

• Service delivery: Conducting interviews, writing and editing your book, and delivering the finished manuscript.
• Communication: Sending scheduling reminders, project updates, and responding to your questions.
• Service improvement: Analyzing how our systems perform to improve the quality of our AI agents and writing processes.
• Legal compliance: Meeting our legal obligations, resolving disputes, and enforcing our agreements.

Data Storage & Security

We take the security of your data seriously. Your information is stored using industry-standard security measures:

• Structured data (profiles, outlines, book metadata) is stored in Supabase with row-level security enabled.
• Interview recordings and uploaded files are stored in Cloudflare R2 with encrypted-at-rest storage.
• All data transmission uses TLS/HTTPS encryption.
• Payment processing is handled entirely by Stripe, which is PCI DSS Level 1 certified.
• Access to your data is restricted to authorized systems and personnel only.

Third-Party Services

We use the following third-party services to deliver our product. Each service processes only the minimum data necessary for its function:

• Stripe — Payment processing and subscription management.
• Vapi / DeepGram — AI phone interviews and real-time transcription.
• Anthropic (Claude) — AI-powered writing, editing, and content organization.
• Google Docs — Manuscript delivery and collaborative review.
• Telnyx — SMS notifications and scheduling reminders.
• Resend — Transactional email delivery.
• Cloudflare R2 — Secure file storage for recordings and documents.

We do not sell your personal information to any third party. These services are used solely to operate and deliver the Dictate service.

Interview Recordings

Audio recordings of your AI-conducted interviews are a core part of the Dictate process. Here is how we handle them:

• Recordings are stored securely in encrypted cloud storage (Cloudflare R2).
• Recordings are used exclusively for creating your book — including transcription, Voice DNA analysis, and content extraction.
• Recordings are never shared with third parties outside of the transcription services necessary for the book writing process.
• You may request deletion of your recordings at any time. Upon deletion, associated transcripts and derived content will also be removed.

SMS & Mobile Information

If you opt in to receive SMS notifications from Dictate, the following terms apply:

• SMS messages are used solely for project-related notifications: scheduling reminders, interview confirmations, and book status updates.
• No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
• Message frequency varies based on your project activity. Message and data rates may apply.
• Carriers are not liable for delayed or undelivered messages.
• You may opt out at any time by replying STOP to any message. Reply HELP for assistance.

Your Rights

You have the right to:

• Access: Request a copy of all personal data we hold about you.
• Correction: Request correction of any inaccurate personal data.
• Deletion: Request deletion of your personal data, including interview recordings, transcripts, and book drafts.
• Portability: Request your data in a portable, commonly used format.
• Objection: Object to processing of your data for specific purposes.
